Invite Participants

After you have created a review, you can invite users in your Uptempo instance to participate in it. Participants can either be reviewers who provide feedback, or guests who need visibility into the process but are not active participants. You can also assign ownership of the review itself to another user after inviting them.

Invite Participants to a Review as Reviewers, Guests, or Owners

Prerequisite:Closed You have created a review or have access to the review as an administrator with the appropriate permissions. See Create Review

You can invite anyone to participate in a review who:

  • Exists as a user in your Uptempo instance and

  • Has the necessary permissions to access the review

When you invite participants to a review, you also assign them one of three participant roles, depending on how they will participate in the review:

  • Reviewer

  • Guest

  • Owner

To invite participants to an existing review and assign participant roles, follow these steps:

  1. Open the review to which you want to invite participants.

  2. Click the General tab.

  3. Optional: If you didn't write a briefing when you created the review, enter the briefing text you want to use into the Briefing field. The briefing text is displayed in the invitation email that is sent to participants.

  4. Click on Expand on the Version Participants section.

  5. Click + Invite Users and Group.

    The Add Participant dialog opens.

  6. Type a user or team name into the User field in the Add Participant dialog.

    A list of matching users and teams is displayed.

  7. To add users to the review, click on their name in the list of users and teams:

    • To add a specific user individually, click on that user's name.

    • To add all of the users in a team at once, click on the team name.

  8. Choose a role for the selected user or team in the Role field. By default, the Reviewer role is selected.

    Note: For teams, all team members are initially assigned to the role you select here. You can adjust roles for each team member individually after the next step.

  9. Click Add.

    The added participant(s) and their assigned role(s) are listed in the Add Participant dialog.

    Note: Participants added as part of a team are listed individually, and are marked with a special label.

  10. Optional: To add more participants to the review, repeat steps 6-9.

  11. Optional: To adjust the assigned roles of participants you have added, use the individual Role fields displayed for each participant.

  12. Optional: Enter a message into the Optional Message field. This message is displayed in the invitation e-mail to the participants of the review.

  13. To finish adding participants and invite the selected users to the review, click Add.

    The Add Participant dialog closes. You are returned to the General tab of the review, where the invited participants are now listed in the Version Participants section.

You have successfully invited participants to the review. The invited users will receive an email inviting them to the review, and can access the review directly by clicking the link in the email:
